This Privacy Policy explains how Sophoro Labs LLC operates Autopilot and handles information when users create an account, connect a mailbox, forward emails, generate suggestions, and send approved replies.
About Autopilot
Autopilot is an AI-assisted service for one-to-one inbound business email triage and reply drafting. Users forward selected emails, review generated suggestions, edit drafts, and approve any reply before it is sent.
Information We Collect
- Account and profile information, including name, email address, company name, role, login method, and workspace identifiers.
- Client and workspace settings, including signatures, preferences, forwarding setup, send method, and context supplied to guide drafts.
- Forwarded email content and metadata, including sender, recipients, subject, body, message identifiers, and timestamps.
- Generated suggestions, summaries, edited or regenerated drafts, required fields, and records of replies sent through Autopilot.
- OAuth provider account metadata, including provider, connected mailbox address, connection status, scopes, and token-expiration metadata.
- Plan, quota, usage, billing, and Stripe customer or subscription identifiers. Payment card details are handled by Stripe.
- Logs and diagnostics such as request identifiers, status codes, timing, error details, and operational metrics.
- Support and administrative activity needed to operate accounts, investigate issues, or respond to requests.
How We Use Information
- Provide email triage, summaries, AI-generated draft replies, and suggestion history.
- Send replies that a user reviews and approves through the selected send method.
- Operate, secure, monitor, debug, and maintain Autopilot.
- Manage billing, subscriptions, quotas, support, and account administration.
- Prevent spam, abuse, fraud, unauthorized use, and violations of our policies.
- Comply with legal obligations and enforce our Terms of Service.
AI Providers and Other Service Providers
Forwarded email content, metadata, workspace context, and drafting instructions may be sent to a configured AI provider to generate summaries and suggestions. Sophoro Labs does not intentionally use customer content to train Sophoro-owned models. A provider's retention, training, and abuse-monitoring practices depend on that provider and the applicable account configuration.
Services used to operate Autopilot may include AWS for infrastructure, storage, compute, email ingest, and logging; OpenAI or another configured AI provider for language-model processing; Stripe for billing; Google or Microsoft when a user signs in or connects a mailbox; and email providers involved in forwarding or delivery.
Human Access
Sophoro Labs does not routinely review user email content. Limited access may occur when reasonably needed for support, troubleshooting, security, abuse investigation, service maintenance, or legal obligations. Access is limited according to role and operational need.
Retention
We retain account records, workspace settings, email-derived suggestions, drafts, sent-reply records, billing metadata, and operational records for as long as reasonably needed to provide and maintain the service, support users, protect the service, meet legal obligations, and preserve appropriate business records. Some information may remain for a period in backups or records maintained for security, fraud prevention, billing, or legal purposes.
Your Choices
You may request access, export, correction, or deletion of your information by contacting support@sophorolabs.com. You can revoke connected-mailbox access in Autopilot Settings or through your Google or Microsoft account. Revoking access may prevent connected-mailbox sending.
Security
Autopilot is hosted on AWS and uses HTTPS encryption in transit, client-scoped access controls, and server-side handling of OAuth tokens and service secrets. Tokens and service secrets are not exposed to the frontend. No system can guarantee absolute security.
Children
Autopilot is intended for business users and is not directed to children.
